The minutes of the VT2A Committee Meeting No. 7/2023

on Monday, 31st July 2023, at 10:00 am.

Khun Liz, the Chairperson, welcomed everyone and thanked them for attending, and the meeting began at 10:15 a.m.


Agenda 2 Adoption of the minutes of the previous committee meeting

Resolution: The previous committee meeting's minutes were unanimously approved.


Agenda 3 Report on the progress of assignments from the previous meeting.

Miss Ploypailin Sappasit reported the progress of assignments from the previous meeting as the following

  • On July 10th, 2023, a steel rail was installed behind the security fort by our building technician. The installation was done using an operating budget of 9,477 baht.

  • The cleaning of the underground water tank was finished on July 10th, 2023, carried out by Nam Fah Sai Company Limited with a budget of 70,620 baht.

  • On July 25th, 2023, the building technician completed the preparation of warning signs for motorcycle parking for co-owners. The budget spent for the task was 3,300 baht.

  • The footpath ramp next to the security fort has been improved and the work was finished on July 29th, 2023.

  • Progress on recruiting more building technicians. Management posted a notice on Facebook to recruit building technicians and posted an announcement at the security guard entrance in front of the building on May 14, 2023. As of July 30th, 2023, no one has applied. Khun Wanthida entered into negotiations with Aksana Techno College Pattaya to recruit interested persons to work

Resolution: The progress of the assignment from the previous meeting was unanimously approved.

Agenda 4 Matters for consideration and approval.

4.1 Consideration of choosing the building inspection company for 2023.

Resolution: The meeting unanimously resolved to select TP Building Inspector Co., Ltd. to inspect the building for the year 2023 for 10,700 baht.

4.2 Consideration and approval for renewing the pool cleaning service contract with Best Choice Chemicals and Engineering Co., Ltd.

Resolution: The committee unanimously approved the renewal of the swimming pool maintenance service contract with Best Choice Chemicals and Engineering Co., Ltd. at the price of 31,030 baht per month (Thirty-one thousand thirty baht) with the start of the service contract on August 1, 2023, to July 31st, 2024 for a period of 1 year.


4.3 Consider choosing the contractor to repair the plant pots around the swimming pool.

Resolution: The meeting unanimously approved our technician to remake and repair. As for the broken pot, it needs to be remade. If it can't be made into a circle as before, try changing it to a square shape for committee consideration.


4.4 Consideration and approval of the budget for the fire drill of 2023

Resolution: The meeting unanimously approved a budget of 12,000 baht (twelve thousand baht only) for organizing fire drill for the year 2023


4.5 Consideration and approval of installing the railing in front of the Guard House.

Resolution: The meeting unanimously approved the installation of a steel railing in front of the security fort and approved a budget of 3,000 baht (Three thousand baht only).


4.6 Consider penalties for co-owners who allow their contractor to use loud noises before the allowed time.

Resolution: The meeting resolved that the management should give a verbal warning if it is found that it is the first offense, make a fine of 1,000 Baht for 2nd offense, and make a fine of 2,000 baht for 3rd offense.


4.7 Consider taking action concerning the half-built condominium at the south of our building.

Resolution: The meeting agreed to ask for information and jointly find a solution with Pattaya City.


4.8 Draining car park.

Resolution: The Committee assigns our building technicians to find a way to improve the parking lot drainage in order to prevent standing water after rain.


4.9 City to inspect/test our trees for rot.

Resolution: The meeting assigns the management to find a contractor for garden work to come in to check for tree rot. If any plant is not strong, it will be removed and replaced.


4.10 Consider building insurance: does it need upgrading due to increased repair costs? Is the amount of coverage sufficient?

Resolution: The meeting assigns Ms. Wanthida to inquire about the increase of the coverage limit with the building insurance company and report to the committee at a future meeting.


4.11 The Chief of Security Report.

Resolution: The meeting acknowledged the performance of the security department.

The night security guards will be reminded to close all windows when it rains.

Agenda 5 Accounting and financial status reports, as well as unresolved debt-collection lawsuits.

Resolution: The meeting approved the financial report, which was posted on the lobby board. 23 new cases for debt collection were given to the attorney for action.

Agenda 6 Performance Report

The management has reported a summary of work performance as follows:

  1. Paint the footpath at the entrance to the car park for 2,384 baht.

  2. Accept delivery of paintwork for the fire escape for 280,000 baht (Two hundred and eighty thousand baht only).

  3. Buy 3 new shopping carts, price 13,051.86 baht (Thirteen thousand fifty-one-baht, eighty-six satang).

  4. Clean the underground water tank,70,620 baht. (Seventy thousand, six hundred and twenty baht only)

  5. Install a steel rail behind the security fort, 9,477 baht (Nine thousand four hundred and seventy-seven baht only).

  6. Change the filter, water filter, and water vending machine, 3,330 baht (Three thousand three hundred and thirty baht only).

  7. Improvement of footpath ramps, 1,000 baht (one thousand baht only)

  8. Fix the main electric cable to the swimming pool, 19,235 baht. (Twenty-nine thousand, two hundred and thirty-five baht only)

  9. Installation of motorcycle parking warning signs for co-owners,3,300 baht (Three thousand three hundred baht only).

Resolution: The report was adopted by the meeting.

Agenda 7 Other matters (if any)

7.1 During the meeting, Khun Ploypailin brought up an important issue regarding employee uniforms. She expressed concern that they are faded and old and suggested that it would be beneficial for the employees to have new uniforms. Therefore, she requested that the committee approve the budget for the purchase of new uniforms.

Resolution. The meeting approved the budget for purchasing uniforms for employees in the amount of 9,000 baht (Nine thousand baht only).


7.2 Khun Ploypailin reported that the garden staff had discovered three trees at the entrance road to Building B that were being eaten by termites, causing them to become hollow and lean nearly to fall. And, there was a palm tree in front of the building behind room 434/32 that was being eaten by a beetle and was at risk of dying soon.0


When there were no other questions or suggestions, the chairman of the meeting declared the meeting adjourned at 12.30 PM.
